Position:  Bookkeeper – Office Manager

 

Role: The role of the office manager is to maintain the office services by organizing office operations and procedures via a range of administrative, clerical, and financial tasks.

 

Responsibilities

 

To ensure client trust accounts are maintained in accordance with regulations.

To prepare payroll bi-monthly.

To establish new staff and educate staff members in payroll responsibilities as necessary.

To distribute funds as requested.

To manage clerical systems and equipment.

To implement office managerial tasks as delegated by the Comptroller and Executive Director.

 

Tasks

 

Bank Reconciliations

All Trust accounts: Hope House, ARF, CCF Children’s SPGH, ICFDD-H, EBSH

 

Client Trust Accounts

Do P & I ledgers for clients

Disburse client’s funds and maintain receipts on all expenditures

Post P & I funds received

Complete community outing receipts and recording breakdown by client for reimbursement

Write hand checks and post to P & I accounts

Petty Cash disbursements

Provide funds for community outings

Prepare P& I audit and review with reviewer

Prepare P& I ledger for each quarterly IPP review

 

Accounts Receivable

All bank deposits

Post P & I funds

 

Invoices

Check all invoices; reconcile statements

 

Payroll

Prepare payroll bimonthly

Review all employee time cards – issues with submission

Calculate sick and vacation pay

Work with administrators when they need help with payroll

Insert newsletters and seal paychecks

 

Deal with everyday office and IT issues

Invoicing and Tracking of Parents share of cost

Track payments

Prepare and issue invoices

 

Assist Human Resources Director in Terminations

Prepare pay check for distribution

Qualifications:

  1. Attainment of 18 years of age
  2. Provides health screen and tuberculosis test.
  3. Fingerprint clearance
  4. Interpersonal skills to interact with other staff
  5. Bookkeeping skills
  6. Computer, clerical, and filing skills

 

 

Reports to: Comptroller

 

Evaluated by: Comptroller and Executive Director


Hourly Rate: $15.00- $20.00

 

Hours:    Non-exempt  Full Time 8 am – 4:30 pm
